Keeps official corporation records and executes administrative policies determined by or in conjunction with other officials by performing the following duties.
Able to hear and speak English.
Able to word process and proofread simple correspondence.
Acts as custodian of corporate documents and records.
Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested.
Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
Available to work Mondays through Fridays from 8:00 until 4:30 with possibly 4 to 8 hours of overtime per month.
Can add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Can present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Can read and comprehend simple instructions, short correspondence, and memos.
Can touch type a minimum of 60 words per minute with 2 or fewer errors from recorded dictation or written notes or documents.
Can type documents which may include tables.
Can type word and numeric data into a spreadsheet as directed or described in a written document or notes.
Capable of understanding and carrying out detailed but uninvolved written or oral instructions.
Creates and maintains database and spreadsheet files.
Directs preparation and filing of corporate legal documents with government agencies to conform with statutes.
Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings.
Holidays include leaving 2 hour's early on New Year's Eve, New Year's Day, Martin Luther King Day, Memorial Day, Independence Day, Labor Day, Thanksgiving, the Friday after Thanksgiving, and Christmas Day.
Manages supervisor's calendar and independently schedules appointments.
Monitors and directs recording of company stock issues and transfers.
One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
Paid vacation of two weeks after one full year of employment.
Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance.
Screens incoming calls and correspondence and responds independently when possible.
Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus.
Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
The employee frequently is required to reach with hands and arms and talk or hear.
The employee is occasionally required to stand; walk; and stoop, kneel, crouch, or crawl.
The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
The noise level in the work environment is usually moderate.
